Grant Management

GEAR UP Virginia adheres to the following guidance for grant management. Coordinators and other staff are expected to understand and follow the guidance to ensure full compliance with all requirements. Below are a variety of resources to assist site coordinators in successfully implementing GEAR UP in your school.

Secure File Upload

Box is a one-way secure portal that will allow you to upload your documents to GUV. You do not need to have a Box account to utilize this service.

Please use the following naming conventions when submitting documents: school.division.description. (Bethel.Hampton.Reimbursement11_2023) Doing so will help our office categorize and process forms accurately and efficiently. 

 Data Reporting

GEAR UP Virginia (GUV) data are a key part of program planning, evaluation and reporting. The GUV grant requires rigorous data collection from partner schools, so grant administrators can evaluate GUV’s progress toward its stated project goals and objectives and associated benchmark objectives. The data collected must be of high quality for GUV to meet federal reporting requirements. Each April, GUV must demonstrate to the U.S. Department of Education, through the submission of the Annual Performance Report (APR), that it is conducting an effective program.  

The most important tool GUV school-based data coordinators will use to collect reliable data on GUV students is the SCRIBE database.
